Archive storage that keeps the customer in control.

Sheffield based Document management experts Russell Richardson are now offering companies requiring a secure solution for document storage access to their own portal for complete visibility, tracking and management of records.

Handing over boxes of important, and often confidential records for offsite storage can be a worry for many organisations, driven by the need for freeing up valuable space and financial savings. With the new customer portal, Russell Richardson’s customers are able to access details of their records at any time and track the movement of any boxes in real time.

After launching an archiving and records management service last autumn, Russell Richardson have invested in O’Neil record storage and management software - the industry pioneer for barcode tracking. Through the O’Neil system, customers are given access to the secure portal where they are able to track boxes or records, request retrievals and destruction, and print reports. For complete control, different levels of access to the portal can be set for each user.

“With the software our customers can retain full control of their records in our secure storage facility. For every movement, the barcodes are scanned and the information is uploaded to the system, with customers able to access the portal and view the status, or request actions at any time,” explained Colin Ashton, sales manager at Russell Richardson. “The portal is totally secure, easy to navigate and we provide full training and support for our customers as part of our service.”
